Property Administrator
Job Types: Part-time, Contract
Pay: $24.55 – $30.00 per hour
Expected hours: 25 per week
Overview
We are seeking a proactive and detail-oriented Property Administrator to support our growing real estate services platform. This role is integral in ensuring smooth property operations, maintaining strong tenant and client relationships, and supporting the property management team in financial, administrative, and operational tasks. The ideal candidate will be highly organized, customer-focused, and comfortable balancing multiple priorities in a collaborative environment.
Responsibilities
- Provide full administrative support for the property management team, including correspondence, scheduling, and meeting coordination.
- Assist with lease administration, including tracking notifications, insurance certificates, and tenant documentation.
- Maintain accurate and organized vendor files (digital and physical).
- Support accounts payable and receivable functions, including invoice coding, tenant billings, and collections.
- Prepare and track bid proposals, service contracts, vendor agreements, and invoices for approval.
- Assist with monthly, quarterly, and annual management reports as well as property budgets.
- Coordinate tenant move-ins/move-outs, orientation programs, and welcome communications.
- Respond promptly and professionally to tenant inquiries, requests, and service calls.
- Partner with maintenance, security, and building staff to uphold property standards for cleanliness, safety, and tenant experience.
Requirements
- High school diploma required; Bachelor’s degree preferred.
- Minimum of 1–2 years of experience in property management, commercial real estate, or related administrative role.
- Strong proficiency in Microsoft Office Suite.
- Strong communication skills, both written and verbal, with a customer-service orientation.
- Ability to manage multiple priorities, work independently, and collaborate as part of a team.
- Knowledge of accounts payable/receivable processes and basic accounting concepts is a plus.
